Privacy policy

Who this policy covers
This policy explains how Project64 Chess Academy handles information collected through our website, demo enquiry forms and Facebook or Instagram lead forms. These enquiry forms are intended for parents and guardians. Please use an adult’s contact details when asking about classes for a child.
Information you provide
Our website demo form asks for the parent’s name, student’s name, parent’s phone number, student’s age, class preference and chess experience. Email is not required. Earlier enquiries or messages you send us may contain other contact or class details. We keep notes needed to respond to your enquiry. Please do not include payment-card details, identity documents or sensitive personal information in an enquiry.
How we use your information
We use your details to respond to your enquiry, arrange and confirm a free demo, discuss suitable classes, and manage follow-ups related to your request. We may contact you using the phone, WhatsApp or email details you provide. Submitting a demo request does not enrol a child in a paid course. We also use enquiry records to understand which advertising campaigns lead to demos and enrolments.
Website activity and storage
Our website records basic visit information, such as the page visited, referral or campaign source and a session identifier, to understand website use. It uses browser session storage for this purpose. The site’s visit tracking respects supported Do Not Track and Global Privacy Control signals. Hosting and security services may process technical information, including IP addresses, to deliver the website and prevent misuse. Facebook and Instagram handle information collected on their services under Meta’s own privacy policy.
Optional advertising measurement
If you choose Accept in our advertising-measurement notice, we use Meta Pixel and Conversions API to measure page visits, completed demo enquiries, enquiry quality (including enquiries our staff mark as spam), attended demos and confirmed paid enrolments. A completed demo is our qualified-lead signal; an enrolment is the final conversion. Spam is reported as a separate CRM stage, not a successful conversion. Meta may receive the page address, browser information, advertising cookie or click identifiers and a one-way hashed version of the parent’s phone number and an enquiry identifier. These help Meta connect later outcomes to the original enquiry and improve advertising. Hashing does not make this information anonymous to Meta. We do not include the student’s name, age, chess experience, class preference, CRM notes, spam reasons or payment details in these events. Meta’s browser service can also receive technical connection information, including your IP address. Advertising measurement is optional and is not required to request a demo.
Changing your advertising choice
Use Privacy choices under Quick links in our footer to allow or decline measurement at any time. We save your choice in browser local storage. After a consented enquiry, a secure first-party privacy receipt links that browser to its enquiries for up to 90 days. Declining, withdrawing permission or enabling a supported Do Not Track or Global Privacy Control signal stops browser advertising measurement and requests a stop to future CRM outcome sharing for those enquiries. Keep an internet connection available to complete that request. Withdrawal does not undo events already sent. If you cleared your browser storage, used another device or want all your enquiries excluded, contact us so we can withdraw permission for those records. We retain advertising matching identifiers for up to 90 days, separately from the enquiry record. Meta’s handling of information it receives is explained in its privacy policy at facebook.com/privacy/policy.
Access and service providers
Academy team members who manage enquiries and classes can access the information needed for their work. We use service providers for website hosting, data storage, email, messaging and advertising. They process relevant information to provide those services. We do not sell information submitted through our lead forms. Information may also be disclosed where required by law or to address fraud, security incidents or misuse.
Keeping and protecting information
We retain enquiry information for as long as needed to handle your request, manage related class discussions and meet applicable record-keeping requirements. We use access controls and other safeguards to protect it. No internet service can guarantee absolute security. You can contact us to request deletion of an enquiry that you no longer want us to retain; some information may need to be kept for legal or security reasons.
Your choices and children’s information
You can ask us to stop enquiry follow-ups, correct information, provide details about the information we hold, or delete it. A parent or guardian can make these requests for a child. If a child has submitted information without a parent or guardian’s involvement, please contact us so we can review and remove it where appropriate. We may ask for limited information to verify a request before changing or disclosing records.
Updates to this policy
We may update this policy as our enquiry process or services change. The date below identifies the latest version. Any new use of information that requires further permission will be handled separately.
